MechLine AI LLC (“MechLine,” “we,” “us,” or “our”) is a Washington State limited liability company that provides AI-powered phone answering services to auto repair shops. This policy explains how we collect, use, and protect information through our website (mechlineai.com) and our AI phone receptionist service.
Information We Collect
From website visitors:
Name, email, phone number, and shop name submitted through our contact form
Standard web analytics (pages visited, browser type, general location)
From callers to our client shops:
Caller name and phone number
Vehicle information (year, make, model, mileage)
Service needed, urgency level, and scheduling preferences
Call recordings (callers are notified at the start of every call)
What we do NOT collect:
Credit card or bank account numbers
Social Security numbers
Health or medical information
Any data classified as sensitive under applicable privacy laws

AI Disclosure & Call Recording
Our AI assistant discloses to every caller at the start of each call that: (1) they are speaking with an AI assistant, and (2) the call may be recorded. This complies with Washington State two-party consent law and federal regulations. Continued participation in the call constitutes consent.
How We Share Information
We do not sell, rent, or trade your personal information. We share data only with:
Our client shop — Caller information is provided to the auto repair shop whose phone line the caller reached, via a secure dashboard.
Service providers — We use third-party platforms to deliver our services:
Vapi AI (voice processing) — SOC 2 Type II certified, HIPAA & GDPR compliant
Twilio (phone & SMS) — ISO 27001, SOC 2 Type II certified
Google Sheets (dashboard) — Protected by Google enterprise security
Stripe (payments) — PCI DSS Level 1 certified
Formspree (contact form) — for website form submissions only
We may also disclose information if required by law, court order, or government request.
Data Security
All data is encrypted in transit (TLS 1.2+) and at rest (AES-256) through our infrastructure providers. Access to client dashboards is restricted to authorized shop personnel and MechLine team members. We do not store payment card data on our servers — all payment processing is handled by Stripe.
Data Retention
We retain call data for the duration of the client’s service agreement plus 30 days. After that, all data is permanently deleted. Clients may request data export or deletion at any time by emailing info@mechlineai.com.
Your Rights
You may request to access, correct, or delete your personal information at any time. To exercise these rights, contact us at info@mechlineai.com. We will respond within 30 days.
Children’s Privacy
Our services are not directed to individuals under 18. We do not knowingly collect information from children.
Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated “Last updated” date. Continued use of our services after changes constitutes acceptance.
By accessing mechlineai.com or using MechLine AI’s services (“Services”), you agree to these Terms of Service (“Terms”). If you do not agree, do not use our website or Services. These Terms constitute a binding agreement between you and MechLine AI LLC (“MechLine,” “we,” “us”), a Washington State limited liability company.
2. Description of Services
MechLine provides AI-powered phone receptionist services to auto repair shops. Our AI assistant answers inbound calls, collects caller and vehicle information, logs it to a digital dashboard, and sends SMS confirmations to callers. MechLine does not diagnose vehicles, provide repair quotes, confirm appointments on behalf of clients, make outbound calls, or process payments from callers.
3. Eligibility
Our Services are available to businesses operating lawfully in the United States. You must be at least 18 years old and have the authority to bind the business you represent to these Terms.
4. Free Trial
New clients may be eligible for a 14-day free trial. No credit card is required to begin the trial. To continue Services after the trial, you must actively select a paid plan and provide payment information. If you do not opt in to a paid plan, Services will be deactivated at the end of the trial period. The trial is without obligation and may be cancelled at any time by emailing info@mechlineai.com.
5. Pricing & Payment
Service plans and pricing are listed on our website and may change with 30 days’ written notice. Monthly fees are billed automatically through Stripe on the same day each month. If payment fails, we will attempt to notify you. Services may be suspended after 14 days of non-payment and terminated after 30 days. All fees are exclusive of applicable taxes.
6. Cancellation
You may cancel your service at any time with 30 days’ written notice to info@mechlineai.com. Services continue through the end of the notice period. You are responsible for all fees incurred through the end of the notice period. Upon termination, we will provide a data export within 10 business days and delete all your data within 30 days.
7. AI Disclosure & Call Recording
Our AI assistant discloses its AI nature and the possibility of call recording at the beginning of every call. These disclosures are legally required and cannot be removed or modified. By using our Services, you acknowledge and agree to these disclosures being made to all callers reaching your business through MechLine.
8. Client Responsibilities
You agree to: provide accurate business information (name, hours, services, contact details); maintain call forwarding from your phone carrier if applicable; follow up with callers in a timely manner; use the Services in compliance with all applicable laws; and notify us promptly of any changes to your business information.
9. Intellectual Property
All MechLine technology, AI systems, prompt configurations, dashboard templates, website content, trademarks, and branding are the property of MechLine AI LLC. You are granted a limited, non-exclusive, non-transferable license to use the Services during your subscription. You may not copy, modify, reverse-engineer, or resell any part of the Services.
10. Data Ownership
You own the call data collected through our Services. We do not sell, share, or use your data for any purpose beyond providing the Services. See our Privacy Policy for full details.
11. Limitation of Liability
To the maximum extent permitted by law, MechLine’s total liability shall not exceed the fees paid by you in the three (3) months preceding the claim. MechLine shall not be liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost revenue, or lost business opportunities. We do not guarantee any specific business results from using the Services.
12. Service Availability
We use commercially reasonable efforts to maintain service availability but do not guarantee uninterrupted service. Our Services rely on third-party infrastructure (Vapi, Twilio, Google) whose availability is outside our direct control. In the event of an outage caused by our systems, we will issue pro-rated service credits.
13. Indemnification
You agree to indemnify and hold harmless MechLine AI LLC, its members, and contractors from any claims arising from: your use of the Services in violation of these Terms or applicable law; your failure to follow up with callers; and any dispute between you and your customers.
14. Prohibited Uses
You may not use the Services to: conduct illegal activities; make outbound robocalls or telemarketing; collect sensitive financial or health data through the AI; misrepresent the nature of the AI assistant; or interfere with or disrupt the Services.
15. Governing Law
These Terms are governed by the laws of the State of Washington. Any disputes shall first be addressed through good-faith negotiation, then mediation. Both parties consent to jurisdiction in King County, Washington.
16. Changes to Terms
We may update these Terms from time to time. Changes take effect when posted on this page. Continued use of the Services after changes constitutes acceptance. For material changes, we will provide 30 days’ written notice to active clients.
17. Severability
If any provision of these Terms is found unenforceable, the remaining provisions remain in full effect.
